Virtual Office in Kochi: 12 Questions to Ask Before You Sign

A virtual office looks simple: an address, some mail handling, a monthly or one-time fee. The problems come later, when a bank or a tax officer checks the address, or when renewal time arrives and the terms turn out to be different from what you assumed. Most of those problems can be avoided by asking the right questions before you sign.

These twelve apply to any provider in Kochi. Under each one, you will find what GreenNest states on its own virtual office page, and where an answer is not published, we say so plainly instead of guessing.

The list is written for three kinds of buyer: a founder registering a company who needs a Kerala address before taking an office, an online seller adding a state to an existing business, and an overseas company that wants a Kochi presence before its team arrives. The questions are the same for all three, but the answers that matter most differ. A seller will care most about questions 3 and 4, a new company about 2 and 5, and an overseas business about 6, 7 and 12.

About the address

1. Is it a real, occupied commercial address?

Banks and authorities check addresses, so a genuine commercial premises matters more than a nice-sounding location. If you can, visit before signing and look for the premises, the reception and your company name on the board. GreenNest’s address is in Kadavanthra, Kochi, and its package includes your company name on the entrance board.

2. Is the address accepted for GST and bank verification, and what proof do you get?

Ask for a clear yes or no on each, not a general assurance. GreenNest states its address is accepted for GST verification and for current account opening, and that it provides address verification documents. How banks and authorities carry out these checks is explained in Business Address Verification Explained.

3. How is the landlord’s NOC worded?

For GST in particular, the wording of the no-objection certificate can matter. Ask whether it specifically authorises use of the address for GST registration. [GREENNEST TO CONFIRM: whether the package includes an NOC worded for GST registration.]

4. Can you get a demarcated, lockable space if GST approval needs one?

Some registrations draw closer scrutiny than a simple mailing address, especially if stock is involved. Ask whether a defined physical space is available. [GREENNEST TO CONFIRM: whether a demarcated, lockable space is available to virtual office clients.] Virtual Office vs. Registered Office Address explains why this question comes up, and the e-commerce seller guide covers when a private cabin is the safer fit.

About the paperwork and the price

5. Which documents will you receive, and which do you need to provide?

Ask for the list in advance, along with the timeline. GreenNest’s page does not list documents. It says the team explains what is needed, and that setup is usually done within 24 to 48 hours of receiving your completed paperwork. Your own paperwork is usually the slow part, so start collecting it early.

6. What does the fee cover, and for how long?

This is the most important commercial question, and it is easy to skip. A one-time fee and a monthly fee are not comparable until you know the period each one covers. GreenNest’s package is ₹12,192 in total (₹9,900, plus ₹1,782 GST, plus ₹510 stamp paper), described as a one-time package cost. [GREENNEST TO CONFIRM: the period the ₹12,192 covers.]

7. What happens at renewal, and what if you leave early?

Ask about renewal charges, notice periods and refunds before you sign, not after. [GREENNEST TO CONFIRM: renewal terms, notice period and cancellation or refund policy. The virtual office page does not state any of these.]

8. What is included, and what costs extra?

Get the inclusions in writing. GreenNest lists a registered address, live reception and call answering, mail and courier handling, registration and GST documentation support, bank account setup support, Google Business listing support, and access to workstations and meeting rooms. It says no essential features sit behind upgrades. The one named extra is a local Kochi landline, which comes with its Pro Premium Plus package, and the price is not published, so ask.

About day-to-day use

9. How are mail, calls and reception handled?

If you travel or work remotely, this decides whether the address is useful. GreenNest says mail is held securely, you are notified on arrival, and you can ask the team to hold it, forward it or arrange collection. Nothing is discarded without your instruction. Calls are answered by live reception and forwarded to your preferred contact.

10. Who can use the address?

If your company has several directors or partners, check that they are all covered. GreenNest says one plan covers the business entity, so all its directors and partners can use the registered address.

About limits and growth

11. What will the provider not do for you?

A virtual office gives you an address and support, not a compliance department. GreenNest provides documentation and filing guidance, not outsourced filing, so you will still need your own accountant or company secretary for returns and incorporation work. GST and company law requirements are set by the authorities and change over time, so confirm current rules on the official GST portal or with a chartered accountant.

12. Can you grow without changing your address?

Changing a registered address later means updating records with banks, tax authorities and customers. GreenNest says clients can move to a dedicated desk or coworking plan, and a day on the coworking floor costs ₹400. Teams that need a private room can look at furnished private cabins, and companies setting up from abroad can read Dubai to Kochi and Setting Up in Kerala before choosing the back-office service.

Red flags worth pausing on

Whichever provider you are talking to, these are reasons to slow down and ask for more detail:

  • An address quoted only as “central Kochi”, with no street or building you can visit or look up
  • Inclusions described verbally but not written into the agreement
  • No clear answer on what you pay at renewal, or on how to leave
  • Pressure to pay before you have seen the agreement or the documents you will receive
  • Reassurance that the address is “accepted everywhere”, with nothing to show for it

None of these proves a problem on its own. Together, or when a provider cannot explain them, they are a signal to ask for the answer in writing before you go further.

Use the list in your next call

Copy the twelve questions into your notes and ask each provider the same ones. Compare the answers side by side, and treat any answer that is vague, or “we will confirm later”, as a gap you should close before paying. Choosing a workspace carries wider risks too, and The Hidden Risks of Choosing the Wrong Office Space covers them. For a broader checklist aimed at larger teams, see The Non-Negotiable Workplace Requirements for Mid-to-Large Businesses.

If you would like GreenNest’s answers to these questions for your own situation, contact the team or book a visit to the Kadavanthra address.
